Profile Summary

The Visitor Experience and Rentals Associate is a full-time, shift-based role reporting directly to the Visitor Experience and Rentals Supervisor (VERS) and to the Development Officer, Visitor Experience and Rentals. This position serves as the primary face of the museum, delivering exemplary customer service to visitors, members, and event/rental clients. The role balances front-desk admissions and membership promotion with comprehensive, hands-on event rental support. The ideal candidate maintains an enthusiastic attitude, exercises sound judgment, and works a flexible schedule—including evenings, and weekends—to ensure operations run smoothly and safely.

Essential Job Functions

Reporting to the Visitor Experience and Rentals Supervisor (VERS), the position will be responsible for the following:

Visitor Experience

Customer Service:

  • Acts as a visitor experience representative for the museum, offering exemplary customer service to all visitors, guests, members and rental clients.
  • Maintains an enthusiastic and responsive attitude, engaging with guests in an informed and professional manner.


Feedback Tracking:

  • Monitors customer satisfaction levels by consistently asking questions and listening to visitor feedback, questions, and concerns.
  • Shares findings with the supervisor.


Promotions and Pricing:

  • Remains informed of all aspects of admission, allowable admission discounts / discount categories, and related pricing.
  • Stays current on special exhibition and museum store promotions to accurately inform visitors at the front desk.


Membership Sales:

  • Stays abreast of various membership levels and benefits to better inform visitors.
  • Through engaging conversations with visiting guests, identifies and secures membership upsell opportunities.


Photography Policies:

  • Remains current with indoor / outdoor photography rules, referring all indoor photography inquiries to VERS for scheduling / pre-payment.
  • Processes onsite payments for outdoor photography sessions and issues receipts / proof of purchase for security.


Financial Accountability:

  • Opens and closes cash registers, including counting money and separating charge slips or coupons.
  • Reconciles cash drawers at the end of each day or shift.


Communications:

  • Responsible for answering the general museum information phone line in a courteous and professional manner.
  • Assists callers by either answering their questions or directing their inquiries to the appropriate department.


Rentals

Client and Vendor Coordination:

  • Acts as a liaison between client, vendors, and museum support staff during museum rentals and provides outstanding customer service experience to the client.
  • Remains present for duration of museum rentals to fully facilitate event load-in / load-out policies and procedures and ensure that all vendors / clients are adhering to the terms outlined in their contract.


Operations and Protocol Compliance:

  • Coordinates with internal staff to ensure rental spaces are clean and sanitized prior to and following event load-in.
  • Coordinates with the head of contracted catering service to guarantee all museum protocols for waste disposal are followed throughout the entirety of the event.


Site Visits and Site Preparation:

  • Facilitates onsite visits / tours with rental prospects, as needed.
  • Accompanies VERS on final walk-throughs for scheduled rental events to make client introduction, as well as review day / night of event details and checklist.


Supervisor Reporting and Briefings:

  • Meets weekly with VERS to discuss recently completed rental events, providing detailed report of event outcomes (i.e., encountered challenges; client feedback; etc.) prior to meeting to help facilitate discussion.
  • Meets as needed with VERS to discuss upcoming rental events.
  • Attends and adds input to any internal pre-event briefings with Security and Facilities to ensure all event staff are well-informed.


General

Museum Representation:

  • Represents the McNay by upholding professional practices and effective communication with all visitors, rental clients, vendors, and museum staff.


Issue Resolution:

  • Demonstrates sound judgment, respectfully and promptly addressing negative feedback.
  • Escalates extreme instances to direct supervisor, department head, and/or security in a timely manner.


Professional Development:

  • Attends quarterly VERA trainings, as well as more frequent briefings as required, to stay well-informed about all procedures, protocols, and promotions.


Operational Flexibility:

  • Performs other duties as required.


Work Schedule

  • This is a full-time, rotating shift position covering Wednesday through Sunday each week.
  • This position requires availability for both day and night shifts (as late as midnight at times depending on rental event)
  • Shifts may rotate or be assigned based on business needs
  • Weekends are required for both day and night shifts (as late as midnight at times depending on rental event)
  • Candidates must be flexible with scheduling and able to work varying hours
  • Must have dependable transportation and valid driver's license

Education

  • High school diploma or equivalent


Work Experience

  • Minimum 2 years in customer service
  • 12 months of experience in event planning and execution
