Position Summary:

NAVCO is seeking a detail-oriented, results-driven Contracts Manager to support our legal, sales, and operations teams in managing the lifecycle of company contracts and agreements. This role is responsible for reviewing, negotiating, drafting, and administering contracts while ensuring compliance with company policies and legal requirements.

The Contracts Manager will act as a key liaison between NAVCO, customers, and legal representatives, ensuring contract terms align with operational requirements and risk management guidelines. This position plays a critical role in maintaining accurate documentation, managing approvals, and supporting proposal and RFP processes.

The ideal candidate is highly organized, adaptable, and able to manage multiple priorities in a fast-paced environment while maintaining strong attention to detail and clear communication with internal and external stakeholders.

Key Responsibilities:

Contract Management & Administration

• Review and manage a variety of contracts and agreements to ensure compliance with company policies and legal requirements.

• Review and process new and existing agreements including Non-Disclosure Agreements (NDAs), Letters of Intent, and customer contracts.

• Draft, review, and propose revisions to contract terms and conditions as needed.

• Negotiate contract terms in collaboration with internal leadership and legal representatives.

• Ensure contracts accurately reflect the approved scope of work and operational requirements.

• Coordinate internal approvals required for contract execution and ensure all documentation is completed properly.

• Maintain organized and accurate records of executed contracts and ensure final documents are stored within company repositories.

• Manage contract modifications, amendments, service updates, and renewals.

Customer & Legal Coordination

• Serve as a liaison between NAVCO, customers, and external legal representatives throughout the contract review and negotiation process.

• Track the status of contract negotiations and provide updates to relevant stakeholders. • Ensure clear and concise contract language to minimize risk and avoid potential disputes.

Proposal & Compliance Support

• Assist with documentation required for Requests for Proposal (RFPs) and pre-qualification opportunities.

• Ensure contract compliance requirements are met for customer agreements and project engagements.

• Provide regular updates to senior leadership regarding the status of open contracts and items requiring escalation.

Insurance & Administrative Coordination

• Manage Certificate of Insurance (COI) requests and coordinate with brokers or corporate representatives as needed.

• Support the OCIP enrollment process and maintain related reporting documentation.

• Assist with operational documentation and reporting requirements as needed.

Qualifications:

• Minimum 5 years of experience in contract administration, proposal development, or related field.

• Experience reviewing and negotiating contracts in a corporate or operations environment.

• Bachelor’s degree preferred, or equivalent combination of education and relevant work experience.

• Experience supporting legal, sales, or operations teams in a contract management capacity is highly desirable.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

• Strong customer service mindset and professional communication style.
