Position

Veracity Electric is seeking a highly organized and detail-oriented Preconstruction Administrator to support our Business Development and Estimating teams. This role plays a critical part in the success of our projects by ensuring bids are accurate, compliant, and delivered on time.

The ideal candidate thrives in a fast-paced, deadline-driven environment and demonstrates strong ownership of the preconstruction process—from opportunity intake through bid submission and project handoff.

Key Responsibilities

Estimating & Bid Support

  • Coordinate incoming bid opportunities and maintain the bid calendar
  • Distribute drawings, specifications, and addenda to estimators and vendors
  • Track bid deadlines, pre-bid meetings, and submission requirements
  • Assist with bid day preparation, including document assembly and proposal formatting
  • Ensure all bid submissions are complete, compliant, and submitted on time
  • Maintain records of bids, budgets, and historical cost data

Business Development & CRM Management

  • Maintain and update Follow CRM with opportunities, contacts, and pipeline activity
  • Track project pursuits and client interactions
  • Assist in preparing proposals, qualification packages, and presentations
  • Support client follow-up and relationship management
  • Maintain bid lists and client databases

Vendor & Subcontractor Coordination

  • Distribute bid invitations to subcontractors and suppliers
  • Track vendor responses and ensure full scope coverage
  • Maintain and update vendor and subcontractor database
  • Assist in organizing and leveling incoming quotes

Preconstruction Coordination

  • Schedule and coordinate internal bid review meetings
  • Track RFIs, clarifications, and addenda throughout the bidding phase
  • Ensure all required documentation is complete prior to submission
  • Support seamless handoff of awarded projects to operations teams

Data Tracking & Analysis

  • Maintain and analyze historical bid data, including win/loss ratios and trends
  • Generate reports to support business development and estimating strategies
  • Identify opportunities to improve win rates and bidding efficiency

Document Control

  • Maintain structured digital filing systems for all preconstruction documents
  • Manage version control for drawings, specifications, and revisions
  • Ensure accessibility and organization of all bid-related information

Qualifications

Experience

  • 2+ years of experience in construction administration, estimating support, or similar role
  • Electrical construction experience preferred

Skills

  • Strong organizational and time management skills
  • Ability to manage multiple bids and deadlines simultaneously
  • High attention to detail and accuracy
  • Strong communication and coordination skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Experience with CRM systems (Follow CRM preferred)
  • Bluebeam and estimating software (e.g., AccuBid, AI takeoff tools) preferred
