After spending serious time working with Claude , here's what separates people who get great results from those who don't: 1. Fill in the project instructions when you create a new project. There's a section that asks what you are building. Don't skip it. That context sets the foundation for everything Claude does inside that project. 2. Write proper prompts. Not just a quick message, but real guidance on what you want, how you want it, and what to avoid. 3. Upload your actual files. Claude doesn't guess. Give it your documents, your data, your context. It changes everything. The one honest limitation is that Claude can have a short memory across sessions. Sometimes you have to re-share context you’ve already provided before. If you look back at any project that went over budget or behind schedule, the issue usually traces back to early decisions. At the preconstruction stage, teams are often working with incomplete drawings, early assumptions, and tight timelines. Estimates are made, risks are noted, but not always fully understood. Once the project moves forward, those early calls stay locked in. That’s why this phase matters more than it gets credit for. What’s starting to change is how teams are using past project data. Instead of relying only on experience or rough benchmarks, predictive tools are helping teams look at what actually happened in similar projects where costs moved, where delays showed up, and what caused them. Had a great call yesterday with a friend and fellow consultant. He runs projects on Procore, and his pitch to clients is centered around something simple but powerful: Own the data. As the owner's rep, he owns all of the data through Procore...but it is also transparent and all stakeholders have access to it. And he’s absolutely right. Too often in construction, the owner doesn’t actually have access to all of the project information. Schedules live in one place. Cost data lives somewhere else. RFIs and submittals sit in another system. Everyone operates in their own silo and shares only the information required of them. It made me stop and think… Why is that still the norm in our industry? Why aren’t we running projects in a fully transparent way where the owner can see everything happening on their project in real time? Instead, many projects still operate like a game of “gotcha.” Information gets held back. Problems surface late. And people start protecting their position instead of solving the problem. None of that benefits the owner. And it definitely doesn’t benefit the project. The best projects I’ve been part of were the ones where information flowed openly and the team focused on solving problems together instead of hiding them. Transparency doesn’t create problems. It exposes them early enough to fix them. Oh, and if you think holding the data back helps when things go sideways...let me assure you it all comes out in the legal battles...all of your files...emails... Curious how others see this.
