Job Title: Studio Coordinator

Location: Chicago, IL (100% On-Site)

Industry: Architecture & Planning

Compensation: $24.00–$27.00/hour

Work Schedule: Monday–Friday, 8:30 AM–5:30 PM

Addison Group is partnering with our client, a globally recognized architecture, design, and planning firm, to hire a Studio Coordinator for their Lifestyle team. This is an exciting opportunity to support a highly collaborative and creative group working on large-scale projects within a fast-paced professional environment.

Job Description:

Our client is seeking a highly organized and proactive Studio Coordinator to provide operational, administrative, and project support to a dynamic design team. This individual will play a key role in helping projects run efficiently by coordinating meetings, maintaining documentation, supporting project tracking efforts, and assisting with day-to-day studio operations.

Key Responsibilities:

  • Coordinate internal and external meetings, including scheduling, room reservations, agendas, catering, and meeting materials
  • Maintain project files, documentation, and electronic records
  • Assist with project setup, tracking, and organization throughout the project lifecycle
  • Prepare meeting notes, track action items, and support follow-up communications
  • Monitor project schedules, milestones, deadlines, and team calendars
  • Compile project reports, staffing updates, and tracking documents
  • Support management of contracts, proposals, reports, RFIs, and project documentation
  • Coordinate document review and quality control processes
  • Assist with consultant communications and distribution of project information
  • Identify opportunities to improve processes, workflows, and team organization
  • Partner with project managers and design teams to ensure smooth project execution
  • Provide general administrative support to the studio as needed

Qualifications:

  • 5+ years of administrative, project coordination, operations, or project support experience
  • Experience within architecture, engineering, construction, design, or professional services environments strongly preferred
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, Word, and Teams
  • Experience using Adobe InDesign strongly preferred
  • Excellent organizational, multitasking, and time management skills
  • Strong written and verbal communication abilities
  • Ability to manage competing priorities in a fast-paced environment
  • Professional demeanor with strong problem-solving skills and attention to detail
  • Bachelor's degree preferred
