Our client is seeking a Printing and Mail Services Coordinator to join their team! The Printing & Mail Services Associate is responsible for providing timely, accurate, and high-quality on-site print, mail, and office support services. This customer-facing role requires strong attention to detail, excellent customer service skills, and the ability to support multiple operational functions to ensure overall client satisfaction.

  • Location: Client Site – Arlington VA
  • Start Date: ASAP
  • Pay Rate: $20 per hour


Responsibilities:


  • Provide prompt and professional customer service for all on-site requests.
  • Communicate effectively with supervisors regarding potential issues, customer concerns, or service delays.
  • Respond promptly to management and client requests via email, phone, text, and verbal communication.
  • Assist in developing and maintaining site documentation, including the Site Procedure Guide.
  • Participate in cross-functional training to ensure operational coverage during staffing shortages.
  • Adapt to changes in site responsibilities or coverage locations based on client or business needs.


Copy / Print Production & Copy Center

  • Accurately process and complete print and copy requests in a timely manner.
  • Review electronic files for print readiness and perform finishing services such as binding, laminating, punching, collating, and assembling.
  • Perform quality control checks prior to delivery.
  • Log, track, and report print activity as required.
  • Conduct routine equipment upkeep and basic maintenance.


Mail & Courier Services

  • Receive, sort, process, and deliver incoming and outgoing mail, courier packages, and USPS mail.
  • Track and log accountable items (e.g., FedEx, UPS, Certified Mail).
  • Research and route unidentified or misdirected mail.
  • Maintain accurate records of mail and courier activity.


Reception & Office Services

  • Greet visitors and provide front desk support.
  • Answer and route phone calls, take messages, and schedule conference rooms.
  • Accept deliveries and assist with meeting setup, including food and beverage arrangements.
  • Provide light copy, binding, and equipment support as needed.


File Room / Records Management

  • Ensure timely filing of all assigned documents.
  • Create, update, and maintain physical and electronic filing systems.
  • Support special projects and ensure file rooms remain organized and secure at all times.


Device & Equipment Maintenance

  • Perform daily maintenance and basic troubleshooting of reprographic equipment.
  • Clear paper jams, clean surfaces, replenish toner, and load paper.
  • Record meter readings and maintain service activity logs.
  • Escalate unresolved equipment issues to the service department.


Shipping & Receiving

  • Process incoming and outgoing shipments and maintain accurate shipping records.
  • Verify shipments, obtain required signatures, and retain documentation.
  • Operate shipping and receiving equipment and maintain inventory accuracy.


Inventory & Warehouse Support

  • Monitor inventory movement and stock levels.
  • Assist with physical inventories and identify slow-moving or low inventory items.
  • Support warehouse operations, including receiving, packing, labeling, and shipping materials.
  • Safely lift and move items weighing up to 50 lbs using appropriate equipment (e.g., pallet jack).


Qualifications:


  • High School Diploma, GED, or equivalent experience required.
  • Less than one year of related experience preferred.
  • Basic computer and technical skills.
  • Strong organizational, multitasking, and time-management abilities.
  • Excellent customer service and communication skills.
  • Ability to work independently with minimal supervision.
  • Flexibility to work overtime as needed.
  • Ability to obtain and maintain required security clearances.
  • Ability to lift up to 50 lbs and perform physical tasks including standing, walking, bending, and reaching for extended periods.
