The Role

Agenus is seeking a driven and highly organized Global Events & Program Operations Associate to help power our expanding global engagement strategy. Reporting to the Sr. Manager, Global Events & Special Projects, this role will serve as a key operational partner supporting international scientific meetings, physician engagement initiatives, and cross-functional programs that advance global collaboration and access.

This is an opportunity to play a meaningful role in high-impact initiatives at the intersection of science, education, and global engagement. The ideal candidate thrives in dynamic environments, takes ownership of execution, and is energized by managing complex logistics that support visible, mission-driven work.

This role is required to be onsite in Lexington 5 days a week.

In The Role You Will

Global Events & Engagement Support

  • Support coordination of Medical Affairs engagement initiatives, including advisory boards, expert meetings, and scientific education programs
  • Assist with preparation and distribution of meeting materials and educational content
  • Manage scheduling, follow-up communications, and logistical coordination tied to expert engagements
  • Maintain tracking tools to support visibility into physician engagement activities
  • Help ensure engagement activities are documented and aligned with internal compliance requirements

Program & Operational Coordination

  • Coordinate timelines, materials, and logistics across multiple concurrent projects
  • Support vendor onboarding documentation, contract routing, and purchase order tracking
  • Assist in managing operational workflows tied to regional and international program growth
  • Support logistics and information flow across internal teams and external partners
  • Contribute to preparation of materials supporting access-related operational activities

Travel & Logistics Management

  • Coordinate domestic and international travel arrangements for internal teams and external experts
  • Manage itineraries, transportation, hotel blocks, and on-site meeting logistics
  • Support complex travel schedules tied to major scientific congresses and global programs
  • Provide on-site support for meetings and conferences as required

Vendor & Event Execution Support

  • Support vendor coordination for meetings, conferences, and programs
  • Assist with budget tracking and cost management documentation
  • Coordinate catering, transportation, and audio/visual logistics
  • Provide on-site operational support to ensure seamless execution

Qualifications: About you

  • 4-6 years of experience in event planning, program coordination, operations, or project support
  • Experience working with physicians, scientific audiences, or healthcare environments preferred
  • Strong organizational and multitasking skills with attention to detail
  • Ability to manage multiple priorities and shifting timelines
  • Excellent written communication and professional follow-up skills
  • Proficiency in Microsoft Office and scheduling tools
  • Comfortable working onsite and supporting global teams across time zones

Travel Expectations

  • Participation in major scientific meetings throughout the year
  • Additional travel for smaller meetings and internal events
  • Travel may extend up to one week at a time

The targeted salary range for this position is $70,000 - $102,000 per year. Agenus is making a good faith effort to be transparent and accurate around our hiring ranges. The salary offered is commensurate with Agenus compensation philosophy and considers factors including, but not limited to, education, training, experience, external market conditions, critical needs of the role, and internal equity.
