Role Description
The Executive Administrator role is a full-time remote position, responsible for managing daily administrative operations to ensure organizational efficiency and effectiveness. Key responsibilities include coordinating schedules, organizing meetings, preparing reports, maintaining and managing records, and handling communication on behalf of executives. This role requires working closely with leadership to support organizational goals and contributing to the overall productivity of the team.
Core Responsibilities & Strategic Impact
1. High-Stakes Calendar & Flow Management
Gatekeeping with Purpose: Distinguishing between "urgent" and "important" to ensure focus remains on market expansion.
Meeting Lifecycle: Don't just book meetings; own them. Prepare agendas, conduct pre-meeting briefings, capture high-level action items, and aggressively follow up to ensure execution.
Conflict Resolution: Proactively resolve scheduling overlaps across multiple time zones.
2. Operational Logistics & Project Oversight
Project Tracking: Act as the central system for TQG’s internal projects.
Vendor & Partner Liaison: Serve as a professional point of contact for stakeholders
Travel Mastery: Design complex travel circuits for conferences and investor meetings
3. Executive Communications & Branding
Ghostwriting & Drafting: Draft sophisticated correspondence, internal memos, and initial versions of press releases or LinkedIn thought-leadership content.
Presentation Design: Assist in the creation of visually compelling slide decks for board meetings, investor pitches, and keynote presentations.
Qualifications
Administrative and organizational skills, including calendar management, meeting coordination, and record-keeping
Communication and interpersonal skills, with the ability to professionally handle correspondence and interact with internal and external stakeholders
Proficiency in Microsoft Office Suite, Google Workspace, and other relevant administrative tools and software
Time management and multitasking abilities to prioritize tasks effectively in a fast-paced environment
Problem-solving and critical thinking skills with keen attention to detail
Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
Previous experience in an executive administrative or similar support role is highly beneficial
Bachelor’s Degree in Business Administration, Communication, or a related field is preferred
